This privacy policy (confidentiality policy) explains how CM Rental Cars, operated by CM Automobile ('we', 'us', 'our'), collects, uses, protects and retains your personal information, in accordance with Quebec's Act respecting the protection of personal information in the private sector, as modernized by Law 25.

We have written this policy in clear and simple language so you can make an informed decision before providing us with your personal information.

1. Person responsible for the protection of personal information

The persons responsible for the protection of personal information at CM Rental Cars are the owners of CM Rental Cars.

2. What personal information we collect

When you submit a booking request on our website, we collect only the information necessary to process your rental: your full name, email address, phone number, date of birth, driver's license number, place of issue and expiration date, and photos of the front and back of your driver's license.

We also collect the booking details you provide (vehicle, dates, times, mileage plan, and any notes you add).

We do not collect any payment or credit card information through this website.

3. Why we collect it (purposes)

We collect this information for the following purposes only: (a) to verify that the driver meets our rental eligibility requirements (minimum age and a valid driver's license); (b) to process, confirm and manage your booking request; (c) to contact you about your reservation; and (d) to comply with our legal and insurance obligations related to renting motor vehicles.

We do not use your personal information for advertising, profiling or any other purpose, and we never sell it.

4. How we collect it

Your information is collected directly from you, through the booking form on our website. Nothing is collected without your knowledge.

5. Consent

Before submitting a booking request, you are asked to give your clear and informed consent to the collection and use of your personal information for the purposes described above. You may refuse; however, without this information we cannot process a rental booking.

You may withdraw your consent at any time by contacting the person responsible for the protection of personal information (see section 1). If you withdraw consent before your rental takes place, we will cancel the request and destroy the associated information.

6. How your information is protected

Your driver's license photos are stored in a private area of our system that is not publicly accessible — they can only be viewed by authorized CM staff after logging into a secured administration panel.

Our website uses security measures including encrypted (HTTPS) connections in production, secured and signed administrator sessions, protection against brute-force login attempts, and validation of all uploaded files.

Access to your personal information is limited to the staff members who need it to process your booking.

7. Disclosure of your information

We do not sell, rent or trade your personal information. It may be shared only with the service providers strictly necessary to operate our website and communications (such as our website hosting provider and our email delivery provider), and only to the extent necessary.

If personal information must be communicated outside Quebec (for example, if a hosting provider stores data elsewhere), we will first ensure it receives adequate protection, as required by law.

8. Retention and destruction

We keep your personal information only as long as necessary for the purposes described in this policy. Driver's license photos and related information are destroyed once they are no longer required — at the latest 12 months after the end of the rental period — unless the law requires a longer retention period or the information is needed for an ongoing claim or dispute.

If your booking request is refused or cancelled before the rental, the information is destroyed sooner.

9. Cookies

Our website uses only essential cookies: one to remember your language preference (English or French) and one to keep administrators logged into the administration panel. We do not use advertising, analytics, tracking or profiling cookies, and we do not use any technology to identify, locate or profile you.

10. Your rights

You have the right to: (a) access the personal information we hold about you; (b) have it corrected if it is inaccurate or incomplete; (c) withdraw your consent; (d) request the deletion of your information, subject to legal retention requirements; and (e) receive computerized personal information you provided to us in a structured, commonly used technological format.

To exercise any of these rights, contact the person responsible for the protection of personal information (see section 1). We will respond within 30 days.

If you are not satisfied with our response, you may file a complaint with the Commission d'accès à l'information du Québec (CAI).

11. Confidentiality incidents

If a confidentiality incident involving your personal information presents a risk of serious injury, we will notify the Commission d'accès à l'information du Québec and the persons concerned, and take reasonable measures to reduce the risk of harm, as required by law. We maintain a register of confidentiality incidents.

12. Changes to this policy

We may update this policy from time to time. The current version will always be published on this page, and significant changes will be indicated by updating the date below.
